SmartMinutes uses Microsoft’s Azure AI, a trusted industry leader in Enterprise generative AI. Azure AI has Enterprise grade security, data deletion policies in place and does not use customer data for training. For Enterprise clients, if required, an option to use an Offline LLM is available.
French, German, and Spanish are on our immediate roadmap. Additional language support will follow soon, prioritized by customer demand.
SmartMinutes has enterprise grade security at the heart of its design. SmartMinutes does not listen to your conversations or store Meeting transcripts. SmartMinutes is not a meeting note taker, it is a value added, intelligent and secure connector between Zoom/Teams and Smartsheet. Meeting Transcripts are generated by your existing platforms- example- MS Teams or Zoom. SmartMinutes is reading the transcripts, transforming them into useful tabular summaries and writing them to your destination sheet on Smartsheet, or sending to your email. No meeting minutes are retained. Meeting metadata such as meeting ID, creation date, topic, and participant list is stored in the AWS database without deletion. This data set is minimal and serves the purpose of displaying meeting transaction details within the application, so that history of credit usage of their organization, is available to SmartMinutes Admins.. System admin emails and number of credits purchased by an organization are stored in a highly secure super admin panel, accessible only to select SmartMinutes team members who are responsible for client onboarding. Zoom or Teams secret keys, used by client system admins to connect SmartMinutes to the Zoom/Teams APIs – are encrypted and stored securely vis AWS Secret Manager.
For troubleshooting, we maintain application logs that capture relevant meeting metadata. These are Info/Error logs that help to troubleshoot, record error message and exception details. Log retention is configured for 15 days, after which older log files are automatically purged as part of the log rotation policy.SmartMinutes staff cannot access your meeting data. Customers can also opt for dedicated cloud or on-prem deployments.
We use highly secure, SOC2, GDPR and ISO compliant tech stack- Microsoft Azure AI, AWS, MS Teams/Zoom APIs, Smartsheet APIs. As an organization, Agilifly is also ISO 27001 compliant, nearly closing out our SOC2 audit and certification in October 2025 and undergoing a GDPR review. In view of the fact that we do not record or store meetings and are only transforming and transmitting, these further strengthen our security posture.

Yes. SmartMinutes is fully integrated with Smartsheet. Additional platforms will be supported shortly.
We provide email-based Level 1 (L1) support via our In app ticketing system, accessible and trackable via the user/admin portal. If an L1 issue is unresolved within 48 business hours, it is escalated to Level 2 (L2) support with callback assistance.
Yes, we support a free/light usage model. The trial version is not integrated to your organization’s Teams or Zoom account or your Google Calendar/Outlook. Therefore it is a light trial interface that is self service, it enables you to paste any meeting transcript , define your destination Smartsheet parameters, preview and send the generated Meeting summary, and send to your email/sheet. It does not contain the Zoom/Teams integration to identify your list of meetings, or the advanced features of pre- configuring sheets and email settings for future scheduled and recurring meetings.
We also have a bonus credits program for organizations signing up. If you sign up with SmartMinutes, you will get 25% of your credits free, and you will have a 2 week period where you can use your free credits, before your purchased credits kick in and you are invoiced. This works out to be a two week free trial on the full feature set of SmartMinutes, and will require an organization admin to follow set up instructions to connect your Zoom/Teams integration if applicable.
No. SmartMinutes is not an AI notetaker. Instead, it transforms AI-generated narratives into structured, tabular summaries that drive action and accountability. It allows you to send outputs to Smartsheet or email tables with one click.
Once logged in, users can configure destination Smartsheet(s) via a setup popup. You simply enter the sheet name, ID, and access token. This takes about one minute per sheet. Once configured, sheets appear in a dropdown, allowing SmartMinutes to know exactly where to send the MOM.
Yes. SmartMinutes will append each new MOM to the first empty row in your selected Smartsheet, without overwriting any prior content.

For standard deployments, once your account is activated and your organization’s Zoom/Teams and Smartsheet admins complete a guided 5–10 minute setup, you can start using SmartMinutes immediately. For enterprise deployments (dedicated cloud/on-prem), setup takes a few additional days for hosting enablement.

For teams that cannot or do not want to use the Zoom/Teams integration- we have a feature ready by End of October 2025, which will allow users to paste AI generated meeting transcripts into Smartminutes, select their destination Smartsheet and have those MOMs sent to their Smartsheet.
